Update Bar Results Fields
In Contact Information tab: set Bar Results (Active/Active with Disciplinary History), Bar Search Completed = today's date, Bar Issues = YES/NO. Bar Search Analyst auto-populates. CRM update is required for every search regardless of outcome.

Handle Mismatches (If Applicable)
Law firm mismatch: cross-reference firm website or call firm. Name variation: check Parties section for active deal — if active deal exists, no name change - email servicing to make the edits. If no active deal, update CRM and add previous name to Additional Names field.

Click SAVE after all fields are completed. If a PDF was uploaded (issues found), confirm it is in Documents tab. Confirm Bar Search Analyst field auto-populated correctly. System will notify Servicing team automatically upon field completion.

If attorney is Active / Good Standing (with or without disciplinary history): analyst proceeds with lead qualification. No hold required. System auto-notifies Servicing team.

Auto-Processing Rule

If an attorney already exists in CRM and was verified less than 150 days ago, the system handles ABS automatically — no analyst action required.

Submission Always Wins

In any data discrepancy between CRM and submission email, the submission email is the source of truth for cross-matching.

PDF Only When Issues Found

Clean bar searches (active, no issues) require CRM notation only — no PDF save or upload. PDF must be saved and uploaded only when delinquency, disciplinary actions, or status concerns are returned. Do not save screenshots.

Firm Email Always Preferred

If the bar search returns a personal email, always use the firm email from the submitter or CRM. Attorneys often register personal contact info with the bar. Use personal email only when no firm email exists.

Inactive = Hard Stop

An inactive attorney immediately halts lead qualification. The lead is tagged "Waiting on Docs" and submitter must provide a new attorney.

4 States Require Phone Calls

New Hampshire, Oklahoma, South Dakota, and Virginia do not support online-only verification and require a direct call to the licensing agency.
