Open Attorney Record
Click on the attorney's name to open their full CRM contact. Navigate to the "Attorney Profile" tab to access Law Firm Details needed for bar search identification.

Blueprint 2 · State Bar Search & Re-Verification Lookup Process Blueprint
2.1
Identify State from Law Firm Details
Under the "Law Firm Details" section in Attorney Profile, confirm the US State of the attorney's firm. This state determines which bar directory will be searched.
R: Intake Analyst | A: Intake Team Manager | C: N/A
2.2
Select State Bar Directory
Use Lawyer Legion (lawyerlegion.com) to locate the correct state bar link. Note: New Hampshire, Oklahoma, South Dakota, and Virginia require a phone call — online lookup is insufficient.
R: Intake Analyst | A: Intake Team Manager | C: N/A
2.3
Execute Bar Search Updated
Copy attorney name from CRM and paste into the state bar search directory. Confirm the result by matching name, law firm, address, phone, and email. Email rule: always use the firm email from CRM or original submission — not a personal email from the bar search. Personal email is only used if no firm email exists.
R: Intake Analyst | A: Intake Team Manager | C: N/A
2.4
Save Bar Search PDF (Issues Only) Updated
If bar search returns issues (delinquency, disciplinary actions, or status concerns): print result to PDF (Ctrl+P → Save as PDF). Name file: "Attorney Bar Search - [First Name] [Last Name]". Do not save screenshots — PDF only. If search is clean (active, no issues): skip PDF save and proceed to CRM update.

Blueprint 3 · CRM Documentation & Status Update Process Blueprint
3.1
Upload PDF to Documents Tab (Issues Only) Updated
Only if bar search returned issues: navigate to attorney's CRM contact → Documents tab. Click Upload → Choose File → select saved PDF. Set "Overwrite existing files" to NO before clicking OK. If search was clean: skip this step — no PDF upload required.
R: Intake Analyst | A: Intake Team Manager | C: N/A
3.2
Update Contact Information Fields
Go to Contact Information tab. Set Bar Search Completed = today's date. Confirm Bar Search Analyst field auto-populates with your name once the date is entered. CRM update is required for every search regardless of outcome.
R: Intake Analyst | A: Intake Team Manager | C: N/A
3.3
Update Bar Results Fields
Set Bar Results: "Active / Good Standing" (no disciplinary) or "Active with Disciplinary History - see result" (if disciplinary found). Set Bar Issues = YES or NO accordingly.
R: Intake Analyst | A: Intake Team Manager | C: N/A
3.4
Save Record
Click SAVE after all fields are confirmed. If a PDF was uploaded (issues found), verify it is in Documents tab. Verify Bar Search Analyst field populated correctly. Proceed to next attorney in the queue.
R: Intake Analyst | A: Intake Team Manager | C: N/A
Blueprint 4 · Exception Handling & Escalation Process Blueprint
4.1
Disciplinary Hit on Active Deal
If bar search changes a prior "NO" to "YES" (disciplinary) for an attorney with an active deal: immediately email [email protected], [email protected], and [email protected] with documentation.
R: Intake Analyst | A: Intake Team Manager | C: Risk / Servicing
4.2
Law Firm Mismatch
If law firm on state bar differs from CRM: cross-reference firm website. If attorney still with firm, no action needed. If attorney has left firm: email [email protected] to request CRM law firm change. Call firm if website is unclear.
R: Intake Analyst | A: Intake Team Manager | C: Servicing Team
4.3
Attorney Name Variation
If attorney name in CRM differs from state bar result: check Parties section in Attorney Profile for active deal. If active deal: no name change required. If no active deal: update CRM name and add previous format to "Additional Names" in Contact tab.
R: Intake Analyst | A: Intake Team Manager | C: N/A

Phone-Required States
For NH (603-271-2646), OK (405-416-7000), SD (800-952-2333 or 605-224-7554), and VA (804-775-0530): call the licensing agency directly. Document outcome and proceed with standard CRM update process. Save PDF only if issues are found.

🔄
What "150-Day" Means

Every attorney in the CRM must have their bar status re-verified every 150 days (approximately 5 months) to confirm continued active / good standing status.

📅
Oldest-First Queue Priority

Always sort the ABS Due filter oldest to newest. The most overdue attorneys must be processed first to maintain compliance standards.

📄
PDF Only When Issues Found

Clean bar searches (active, no issues) require CRM notation only — no PDF save or upload. PDF must be saved and uploaded only when delinquency, disciplinary actions, or status concerns are returned. Do not save screenshots.

📧
Firm Email Always Preferred

If the bar search returns a personal email, always use the firm email from CRM or original submission. Attorneys often register personal contact info with the bar. Use personal email only when no firm email exists.

📞
4 States Require Phone Calls

New Hampshire, Oklahoma, South Dakota, and Virginia cannot be verified online. Analysts must call the state licensing agency directly for these states.

🔴
Disciplinary Change = Immediate Escalation

Any change from NO to YES on Bar Issues for an attorney with an active deal requires immediate email to three recipients: servicing, dbaggett, and drobbins.

🏢
Firm Mismatch Protocol

Law firm mismatches require website cross-reference first, then phone call if unclear. Attorneys still with firm = no action. Attorneys who left = email servicing@ for update.

📝
Name Change Rules

Name variations are only updated in CRM when there is NO active deal. If an active deal exists, the current CRM name stays as-is to preserve deal integrity.
