Every attorney in the CRM must have their bar status re-verified every 150 days (approximately 5 months) to confirm continued active / good standing status.
Always sort the ABS Due filter oldest to newest. The most overdue attorneys must be processed first to maintain compliance standards.
Clean bar searches (active, no issues) require CRM notation only — no PDF save or upload. PDF must be saved and uploaded only when delinquency, disciplinary actions, or status concerns are returned. Do not save screenshots.
If the bar search returns a personal email, always use the firm email from CRM or original submission. Attorneys often register personal contact info with the bar. Use personal email only when no firm email exists.
New Hampshire, Oklahoma, South Dakota, and Virginia cannot be verified online. Analysts must call the state licensing agency directly for these states.
Any change from NO to YES on Bar Issues for an attorney with an active deal requires immediate email to three recipients: servicing, dbaggett, and drobbins.
Law firm mismatches require website cross-reference first, then phone call if unclear. Attorneys still with firm = no action. Attorneys who left = email servicing@ for update.
Name variations are only updated in CRM when there is NO active deal. If an active deal exists, the current CRM name stays as-is to preserve deal integrity.
